Through this call, you can apply to be an Assistant to a Board official and help them out throughout the term. Assistants get to know the EEB and participate in the online meetings. They get an EMSA email address, have access to the loads of resources in the EMSA internal Drive and get a guaranteed spot at the General Assembly.

You can apply for a max of two assistant positions each (and be selected for one of them), by sending two separate motivational letters.

Assistants to the Secretary General

The Secretary General is responsible for a variety of administrative topics, including the EEB structure, the FMOs and NAMs, the internal communications, the National Coordinators and more. This term, in his effort to increase the effectiveness of the Board and the unity of the Association, the Secretary General would like the help of two enthusiastic, visionary and dedicated Assistants to assist him in the following tasks:

Secretary General Administrative Assistant

  • Facilitating and coordinating meetings

  • Restructuring the EMSA Drive

  • Evaluating the structure and communications of the EEB

  • Maintaining the Minutes/Internal Rules/Bylaws

  • Gathering input and feedback

  • Keeping track of the FMO list and Membership status

  • Support the SecGen in his general work

Secretary General Development Assistant

  • Keeping in contact with the NCs and LCs

  • Creating handbooks & toolkits for the Members

  • Communicating with FMOs to learn how to assist them

  • Communicating with the various WGs

  • Organizing workshops and trainings in GAs

  • Support the SecGen in his general work

Selection criteria:

  • Proficiency in English

  • Result-oriented, creative mind

  • Desire to contribute to the work of the SecGen and EB

  • Good communication skills

  • Good knowledge of EMSA structure/IRs

  • Attended EMSA GAs

  • Availability to communicate frequently and attend OLMs

Assistants to the Department of External Affairs

External partners are a sustainable part for our organization. In order for us to have well-prepared Representatives advocating on behalf of EMSA, liaisoning the internal work and having our voices heard all over Europe and beyond it is best to have amazing team members to make that happened! Therefore we are looking for two enthusiasts so we can rock the External Department for the term 2017/2018:

DEA PR & event assistant

  • Gathering and sharing information about external meetings with EMSA members

  • Providing help in organizing events in a European level (like policy events or youth taskforces)

  • Visibility of the DEA towards EEB, NCs and FMOs

  • Preparation and facilitation of DEA related sessions (like workshops) in the EMSA General Assemblies, with the rest of the DEA

  • Preparation of the DEA Handover, with the rest of the DEA

  • Help the VPE, EILO or PO with their tasks if needed.

DEA administrative and policy assistant

  • Coordination of the EMSA External Events Calendar

  • Organize the DEA meetings

  • Contribution to DEA related policy documents when needed.

  • Preparation and facilitation of DEA related sessions (like workshops) in the EMSA General Assemblies, with the rest of the DEA

  • Preparation of the DEA Handover, with the rest of the DEA

  • Help the VPE, EILO or PO with their tasks if needed.

Criteria for selection:

  • Experience in EMSA and basic knowledge about the association

  • Motivated and enthusiastic about external relations and policy-driven processes on European Level

  • Availability for the whole term (November 2017-November 2018)

  • Proficiency in English

  • Good team-working and communication skills

  • Experienced in working with google Apps (Docs, Sheets, Forms, Gmail, Drive, Calendar), Microsoft Office, Doodle, Skype, Facebook etc.

  • Preferably to be available to attend EMSA General Assemblies

  • Available to attend DEA monthly Online-Meetings (more during work overload)

  • Basic design skills (for the PR & events assistant)

Finance Assistant

This term, as we want to increase the efficiency and integration of not only Assistants, but of our own positions as well, we have novel plans for the “Team with the Money”, our Treasurer and RDO. We are opening two finance-related calls: one for the Fundraising Team (you will find it in another call), and one for a Finance Assistant.

The Finance Assistant will assist RDO and TRE in ensuring that the various fundraising projects and grants planned are executed in a timely and effective fashion. The Assistant will also be a part of the Fundraising Team and facilitate the communication among the relevant group of people, namely TRE-RDO-Fundraising Team.

In addition, the Assistant will be required to assist other areas of Finance and Sponsorship that require his/her assistance.

The Finance Assistant will be an important member of the European Board and will be responsible to:

  • Assist the EMSA TRE and RDO throughout the 2017-2018 term

  • Assist the RDO in sponsor mapping, updating the sponsorship package and in signing exclusive contracts with sponsors

  • Assist the RDO in liaising with the Vice President of Capacity and PR Team to ensure all material by the Resource Development Office has a professional and attractive image

  • Assist the RDO in search and preparation for grants

  • Assist in the fundraising for EMSA International Events

  • Attend EMSA European Board online meetings, European Meetings and Board F2F Meetings

Appreciated Qualities:

Assistants to the Vice President of Capacity

VPC General Assistant

VPC General Assistant position is open to applicants who would like to be actively involved in the management side of our Association’s Capacity Building efforts. The position holder will be able to work on the organization of our events, compiling the board updates for Euromeds and take part in the EuroMeds editorial team, collaborate with VPC on administrative tasks, and explore the inner workings of this part of the EMSA European Board. The position holder will work closely with Vice President of Capacity throughout the term on:

  • Management and updating of Intranet

  • Communication with EMSA European Event OCs and assisting with the event preparations

  • Communicating with EuroMeds Editor-in-Chief and assisting with collection of updates from the board side for monthly EuroMeds Online

  • Work with VPC on preparing and giving internal and external workshops on issues such as accessing usage of EMSA Europe resources

  • Assisting VPC on EMSA Publications

VPC PR Assistant

VPC PR Assistant is responsible for assisting the VPC in the tasks related to the PR and management of the PR team. This position provides the platform for the applicant to unleash their creativity and get insight into the public relations strategy setting, planning the visibility of the organization and taking part in the decisions related to PR management of EMSA. The position holder will work in close cooperation with VPC throughout the term.

  • Previous experience in small working group or other group management

  • Creating and following up on promotional campaigns (for example: Behind the Blue Spirit)

  • Management of the PR team with the VPC during EMSA Events

  • Assisting VPC on the creation of EMSA PR Strategy Plan

  • Previous experience on WordPress, and eagerness to learn

  • Knowledge and experience on graphic design softwares

Assistant to the Vice President of Internal Affairs

VPI General Assistant

Dear future applicants,

The vision for the next term for the Department of Internal Affairs is to create a sustainable structure in which everyone finds the means to grow. This term we strive to bring EMSA more closely to the European Agenda, and we already started by adopting the new Joint European Projects Strategy.

The  “Jack of all trades”assistant will work closely with the VPI throughout the whole term.

Having said that, the elected assistant will juggle the following tasks. In order for you to have a clearer idea of the timeline of the tasks, I organised them by assembly and the period of time in between.

In between the SA’18 and AA’18

-Manage closely the local projects system:

  • Update the local projects’ database with the input given in the FMO annual report

  • Create a template on “ How to implement a local project”

  • Gather input from members in the most suitable form on their experience with handling local projects

-Dig up the internet for new opportunities for EMSA’s involvement on the European Agenda

  • Pay periodical visits to the European Commission’s (EC’s) website

  • Update the document with projects / actions issued by the EC

  • Update the pillar directors when needed

-Assist the VPI in the creation of an evaluation system in the DIA

  • Create templates for the evaluation of the ongoing projects, wellbeing of the other assistants in DIA, pillar sessions after assemblies

-Attend at least one Assembly

-Attend regular OLMs

  • European Board

  • DIA

During Assemblies

-Aid the VPI in organizing the Projects and Twinning fairs.

-Help with the pillar sessions logistics

-Maintenance of a good communication between the Department of Internal Affairs and the EMSA members

Selection Criteria

  • Critical thinking and sense of responsibility

Assistants to the Medical Education Director

A new term is about to begin and this beginning is also going to be the cornerstone of many new ideas, expectations and challenges. For the ideas to be formed, the expectations to be met and the challenges to be fulfilled, I am searching for people passionate over Medical Education (ME) and motivated enough to push the Pillar a step forward towards its development.

For this term, I am focusing on externalizing the work of the Pillar as well as raising awareness over ME issues around Europe such as Social Accountability, Accreditation of Medical Schools and Human Resources for Health (HRH).

We will work closely together, get in-depth knowledge on ME and try to reach our full potentials.

MED Internal Affairs Assistant

  1. Assist in the collection and analysis of input gained from the FMOs (from the Assemblies or Online Surveys)

  2. Assist the coordination of SWGs (Small Working Groups) that will be created throughout the term

  3. Keeping the minutes during the Pillar’s monthly Online meetings.

  4. Search and propose up-to-date information on Medical Education topics

  5. Assist the Director in the forming of the Pillar’s folder

  6. Have an active role during the preparation and conduction of the Pillar’s sessions in General Assemblies

  7. Support in submitting the quarterly and annual reports (according to the IRs)

MED External Affairs Assistant (PR Assistant)

  1. Have an active role during the preparation and conduction of the Pillar’s sessions in General Assemblies

  2. Create a list of the Pillar’s partners and possible new collaborations

  3. Participation into the Policy making process of the Pillar (suggestion of topics, input, proofreading)

  4. Be an active member in the PR Team and promote the actions of the pillar

  5. Attendance of regular Olms:

    1. Medical Education Pillar’s (once a month)

    2. European Boards’ according to the IRs

    3. Department of Internal Affairs’ (DIA) (at least once a month)

    4. Olms of the PR Team

  6. Support in submitting the quarterly and annual reports (according to the IRs)

Selection Criteria

  • Experience in the field of Medical Education (Local, national or international)

  • Responsibility and dedication to work

  • Availability throughout the whole term (1st of November 2017- 31 October 2018) via Skype and mailing list

  • Proficiency in English language

  • Knowledge and experience with Google Apps (Docs, Sheets, Forms, Gmail, Drive, Calendar), Skype, Facebook etc. If needed, motivated to acquire new skills

Assistants to the Medical Science Director

In the 2017/2018 term the Medical Science Pillar will focus on creating transparency and sustainability within the Pillar. A team can do this job the best, so this call is for the core team of the Pillar. My hope is to make all the changes and set all the new goals together! Our main activities are organizing Awareness Day campaigns for the FMOs, organizing pillar sessions for the assemblies, attending external meetings, where we can represent the Pillar and EMSA. An important project for the next Assembly is making the poster presentation initiative a sustainable project for the future. The main topics for this year are AMR (Antimicrobial Resistance) and Gender medicine, but we can extend the horizon with new themes together. With all these projects in mind and all new things to come, you will have a chance to share your ideas and opinions about the new term of the Medical Science Pillar, if you are elected.

As an Assistant you will have the opportunity to get an insight of the work of the Medical Science Pillar and you will also have a chance to shape the projects of the Pillar, see the other structures of EMSA and what is happening behind the scenes. You will definitely get a glimpse of what it is like to be actively involved in the preparations for an Assembly!

MSD Research and Internal Affairs Assistant
