What Happens After a Successful Application? What Are the Next Steps?

1. Learning Agreement for Studies 

The Learning Agreement can be downloaded from the Mobility Office website. This document must detail the reason for attending the conference (e.g., giving a presentation and its title), the type of acceptance, and the duration of the conference. Before sending the Learning Agreement to the host institution (conference/congress organizer), it must first be approved by the institutional coordinator of Semmelweis University and the person confirming the acceptance.

IMPORTANT! Obtaining the necessary signatures may take longer than expected, so please do not leave this to the last minute! The Learning Agreement can only be sent to the host institution once all signatures have been collected, and it must be returned signed before departure.

 

2. Grant Agreement

Before departure, the student must sign a grant agreement with Semmelweis University. The form will be provided by the Mobility Office after the student has submitted the Learning Agreement signed by the host institution. Scholarship students must also complete the highlighted sections accordingly.

The grant agreement must be filled out electronically and sent to pannonia@semmelweis.hu. The Mobility Office will verify that all sections are correctly completed and will notify the student via email regarding when they can come in person to sign the document.

 

3. Insurance

Regarding health insurance, it is important to know that the European Health Insurance Card generally provides coverage only for basic healthcare services. Having this card is a minimum requirement for travel. However, it does not cover any co-payments or mandatory contributions required in the host country. If traveling outside Europe, please note that this card is not valid.

Accident insurance is essential to cover any costs that may arise if the student experiences an accident during mobility (whether for study or internship purposes).

 

4. Scholarship Payment

The scholarship will be transferred in HUF (Hungarian Forint) to the bank account provided in Neptun (please ensure that this account is also entered in the grant agreement). Two students cannot receive their scholarships in the same bank account (i.e., one account cannot be used for multiple recipients).

The transfer of the scholarship is expected 2-3 weeks after all parties have signed the grant agreement. Payments may be delayed during the summer period or at the beginning of the calendar year. Please take this into account when scheduling the signing of your agreement.
