- How to organise your Erasmus+ Placement Programme (SMP) abroad?
Find the receiving organisation where your training will take place – we do not have any database.
Please contact directly hospitals, instead of Medical Universities by e-mail.
Your traineeship abroad can last from a minimum of 2 months (60 days) to a maximum of 6 months. If you would like to do more, please send us an email. (Excel to help to calculcate your mobility duration and your grant.)
Your traineeship must be relevant to your degree-related learning and personal development needs and be integrated in your study programme, has to be accepted at Semmelweis University.
IMPORTANT! One Erasmus traineeship has to be minimum 60 days. What does one Erasmus traineeship mean? One Erasmus traineeship is what you will do in one hospital, or more hosptials which are belong to the same University.
Before you leave abroad, do not forget to organise the recognition of your traineeship!

You, Semmelweis University and the receiving organisation must sign a Learning Agreement for Traineeships (Training Agreement) to ensure a transparent and efficient preparation of the exchange abroad. This document sets out rights and responsibilities of the various parties, a detailed programme of the traineeship, information on insurance, and how your traineeship will be recognised upon successful completion.
After you fill in by computer, please send the word version to us by email (email@example.com), before anybody sign it.
We will check it, and if everything is okay with it, you need to come to our office during the office hours, and we will sign it.
After we sign, we will send it to the Directorate of International Studies (Division of English/German Language Programs), and ask a signature from them.
When we have all of three signiture, we will send it to you by email and you can forwarded it to the host organisation. When you receive it back with their signature and stamp, please send it to us by email. Please scan it, because we can not accept photo or scan by phone.
Before starting the mobility, an agreement has to be signed between you and Semmelweis University. This agreement is signed between the university and all those students who get a grant. The document will be sent to you via e-mail just after receiving your Learning Agreement for Traineeships signed by the three parties (You, Semmelweis University, Receiving Organisation)
After filling it in you, will have to e-mail it back to the following address: firstname.lastname@example.org. The subject line of the letter should be your name written in capital letters! It has to be filled out in an electronic format, we cannot accept agreements filled in by hand! We will check it, and tell you whne you can come to sign it. The agreement can be signed in the Erasmus Office during office hours. We need the original ones.
The liability insurance is obligatory in Erasmus+ Traineeships. If your host organisation does not provide it, please make one. (https://www.dr-walter.com/en/products/products-a-z/protrip-world-h.html )
You need to prove us that you have liability insurance before we sign the gran agreement.
You may receive an Erasmus+ grant as a contribution to your travel and subsistence costs and extra funding is available for traineeships. It may vary according to differences in living costs between your country and the destination country.
Grant levels and fixed rates for exchanges between Programme countries are published in the Erasmus+ Programme Guide. The grant is transferred in Euros. 80% of your grant will be transferred 4-5 weeks after you have signed the agreement. We can make transfers from the beginning of August and September, but we cannot initiate transfers between the beginning of December and the end of January.
OLS – online language support
OLS supports the participants of the Erasmus+ programme in order to ensure that they reach the highest linguistic knowledge possible. Filling out the test is OBLIGATORY, and we provide you with an access code! In case of a B1 or lower evaluation, you can participate in an on-line language course.
After returning from the mobility, the test has to be completed again as the European Union would like to know how much progress you made during your mobility.
The remains will be transferred after your return. When the Tempus Questionnaire and OLS are filled in, and we received your Certificate of Attendance and Confirmation about your traineeship, the 20% of your grant agreement will be transferred to you.
During your mobility
If you would like to modify your original Training Agreement (for example you would like to extend your mobility period or modify the period, duration of your mobility), you need to fill in the During the Mobility part of the Training agreement
Important: you have to send the signed During the mobility to us 1 month before your grant agreement expire.
After the traineeship abroad:
After the mobility you must hand in the parts of the Learning Agreement titled “During the Mobility”, “After the Mobility” and Certificate of Attendance at the Erasmus Office issued by the receiving organisation. The Certificate of Attendance can be downloaded from our website . We can not accept photoscanned or photo by phone “After the mobilty”. Please bring the original ones to us, or make a “normal” scan.
Semmelweis University must recognise your traineeship abroad, according to the commitments agreed upon in the learning agreement and without any further requirements.
The information contained in the Traineeship Certificate should also be included in the Diploma Supplement, except if you are a recent graduate. In this case, it is recommended to record the traineeship in the trainee’s Europass Mobility Document
Filling out the TEMPUS Questionnaire + OLS
After returning, you must fill in the questionnaire of the Tempus Public Foundation. You will automatically receive a notifying email after the returning date indicated in your agreement. You will not get a notification about the OLS test, but it is also OBLIGATORY to complete it after the mobility as well.
Writing a report
Write a short, maximum 1-page-long report on your experience and send it to us via e-mail! This will be very useful for student participating in the mobility programme the following years! The report will also be published on our website.
