What happens after a successful application? What are the next steps to take?

1. Learning Agreement for Traineeship

The Learning Agreement can be downloaded from the website of the Mobility Office.
This document must detail the specifics of the research mobility, including the research plan and the expected outcomes.
Before forwarding the Learning Agreement to the host institution, it must first be approved by the institutional coordinator at Semmelweis University and the person confirming the acceptance at the host institution.

IMPORTANT! Obtaining all the necessary signatures may take time, so please avoid leaving it to the last minute! The Learning Agreement can only be sent to the host institution after all required signatures have been obtained. The signed document must be returned by the host institution prior to the start of the mobility period. 

 

2. Grant Agreement

Before the start of the mobility, the student must sign a Grant Agreement with Semmelweis University. The form will be provided by the Mobility Office after the student submits the Learning Agreement signed by the host institution. Students receiving a scholarship are expected to complete all highlighted sections of the form.

The Grant Agreement must be filled out electronically and sent in Word format to the following e-mail address: pannonia@semmelweis.hu. The Mobility Office will review the document to ensure all required fields are properly completed and will notify the student via e-mail about the date and time when the agreement can be signed in person.

 

3. Insurance

Health Insurance
It is important to note that the European Health Insurance Card (EHIC) typically provides coverage only for basic healthcare services, and holding a valid EHIC is a minimum requirement for travelling abroad. However, the card does not cover co-payments or mandatory contributions that are payable even by residents of the host country. Please note that the EHIC is not valid outside of Europe.

Accident Insurance
Accident insurance is required to ensure that, in case the student is injured during the mobility period (whether academic or practical training), the arising costs are covered.

Liability Insurance
Liability insurance offers financial protection in case the insured person causes damage to others — whether accidentally or through negligence. It may cover bodily injuries, property damages, and legal costs incurred during compensation procedures.
During research mobility, participants operate in unfamiliar environments such as new institutions, laboratories, or fieldwork settings, where various risks may occur — including accidental damage to equipment, harm to others, or legal disputes. A suitable liability insurance helps protect participants from unexpected financial burdens in such cases.

 

4. Scholarship Payment

The scholarship is transferred in Hungarian forints (HUF) to the bank account registered in the Neptun system — this account number must also be indicated in the Grant Agreement.

🔔 Important: If the bank account is not based in Hungary, the name and address of the bank must also be registered in Neptun.
Failure to provide this information may result in delays in the payment process.

The transfer of the scholarship is expected 2–3 weeks after the Grant Agreement has been signed by all parties.

Please be aware that scholarship payments may be delayed during the summer period and at the beginning of the calendar year, so take this into account when planning the timing of your signature.
