As the end of the research stay abroad approaches, what documents need to be obtained while still abroad, and what steps must be taken after returning home to ensure that the documentation is complete and the mobility is successfully closed?
1. Certificates
The following documents must be signed at the host institution and, upon return, the original copies must be presented at the Mobility Office. If it is not possible to bring the original documents, they must be scanned (not photographed!) and sent to the Mobility Office by email.
Certificate of Attendance
This certificate verifies the duration of the student’s research or internship period.
Certificate of Research Activity and Performance
At the host institution, the certificate of research activity and the performance certificate — that is, the “After the Mobility” section of the Training Agreement — must be signed.
If the dates indicated on any certificate differ from those in the Grant Agreement (e.g. shorter stay), this may lead to a recalculation of the scholarship.
In case of incomplete documentation, the student may be required to repay the grant. If the delay or missing documents are due to reasons beyond the student’s control, this must be reported in writing to the Mobility Office.
Training AGREEMENT AFTER THE MOBILITY
Proof of Acceptance
Please request a certificate of acceptance from your supervisor or subject coordinator, based on the preliminary letter of acceptance issued at the beginning of your mobility. The signed and stamped certificate must be submitted to the Mobility Office.
2. Completion of the Questionnaire (Pannónia Survey)
After returning home, it is mandatory to complete the scholarship-related questionnaire. A link to the survey will be sent via e-mail after the end date indicated in your Grant Agreement.
3. Preparation of the Research Report
At the conclusion of the research mobility, it is important to prepare a comprehensive report detailing the activities carried out, the results achieved, and the impact of the mobility on your professional development.
Please note that the research report must be approved by both your academic supervisor and the head of the responsible department or institute, confirmed with their signatures.
Ensure that the report includes:

designated spaces for the required signatures,

the institutional stamp (at least one of the signatories), and

the printed names of the signatories clearly displayed next to or beneath the signatures.
⚠️ Don’t forget: you must also sign the report yourself.
Once all required approvals are in place, please submit the final, signed report by e-mail to the Mobility Office.
