The House Rules of the Freshman’s Camp
Freshman’s Camp 2025 Participation Regulations

Dear Camper,

In order to ensure a pleasant and respectful atmosphere for everyone, we have compiled the most important guidelines and rules. By observing these, we can all enjoy an unforgettable and enriching camp experience. As there will be many participants and we hope to enjoy this time as members of a large, united team—having fun, partying, getting to know the university, our studies, and most importantly, each other – everyone is expected to follow the key camp rules. Participation in the camp is only possible by accepting the rules outlined in this “House Rules” document, which must be signed.

House Rules

  1. These Participation Regulations and House Rules apply to all persons present at the Freshman’s Camp. This includes newly admitted university students not yet enrolled (hereinafter: freshmen), those involved in organizing and executing the Camp, service providers (e.g., security staff, catering, performers, sound technicians, etc.), and any individuals working with them under an employment or service contract, as well as any (external) visitors to the Camp. These Regulations cover the entire area of the Freshman’s Camp and related events, including organized travel to and from the venue. Entry and stay at the Camp is only permitted in compliance with these rules. Only campers arriving with a valid, original photo ID (identity card or passport) may remain on-site. Without this document, participation is not permitted. Non-registered individuals will be immediately removed from the camp area.

  2. The rules are created for everyone’s comfort and social well-being, but in exceptional circumstances, the organizers reserve the right to restrict or terminate any activity—especially those involving drug use or trafficking—that endangers others’ health, life, or physical safety.

  3. To demonstrate team membership and verify eligibility to participate—and for the protection of everyone’s safety and property—each participant will receive a wristband, which must be worn at all times during the event and may not be transferred to anyone else. Passing the wristband to another person will result in immediate expulsion. Any damage to the wristband must be reported to the organizers immediately. A new wristband can only be issued to a verified participant in exchange for the damaged one.

  4. Each participant is a member of a shared consumer community. Everyone contributes a set amount to cover accommodation, main meals, and event costs. Additional food and drinks are paid by each individual according to their consumption.

  5. The main meal offerings are determined by the organizers, aiming for as much variety as possible. Where possible—and without obligation—special menus may be provided for participants with specific dietary needs (e.g., gluten-free, vegetarian, dairy-free, lactose-free, diabetic – sugar-free), provided this was communicated in advance.

  6. Bringing commercial quantities of food to the Camp is prohibited.

  7. Main meals are served exclusively in the Camp’s dining hall. Bringing food into rooms from the dining hall is strictly forbidden. Taking dishes, cutlery, or glasses from the dining area is not allowed. Missed meals cannot be replaced.

  8. Upon entry and throughout the event, organizers and security are authorized to inspect participants’ belongings and clothing in accordance with Act CXXXIII of 2005, §26. These inspections are conducted to ensure safety and to prevent prohibited items (e.g., sharp objects, weapons, explosives, hazardous materials, drugs, alcohol, etc.) from entering the premises. Such items will be confiscated, and entry may be denied. Confiscated items will be disposed of or destroyed and will not be returned at the end of the event.

  9. Smoking is only allowed in designated areas. Smoking is strictly prohibited outside these areas.

  10. The event’s security and safety are the responsibility of the organizers. Participants may bring personal belongings at their own risk and must take care of their valuables. Organizers recommend avoiding bringing valuable items (e.g., jewelry, electronics) or large amounts of cash.

  11. The Camp is a closed, communal event. Only presentations, posters, or events approved by the organizers and representing supporters of the community may be displayed or held.

  12. Any activity involving fire, posing a safety hazard, or endangering health is strictly prohibited.

  13. Fire Safety Rules

    1. Open flames are not permitted anywhere on Camp grounds.
    2. In case of fire, follow the “Fire Evacuation Plan.”
    3. Access roads on Camp premises must remain unobstructed. Blocking roads and gates is forbidden.
    4. Faulty electrical cords may not be used. Report issues to the Camp’s Central Reception.
    5. Tampering with circuit protection (fuses) is forbidden.
    6. In case of fire, participants must follow the instructions of the fire response leader.
    7. All fire incidents must be reported immediately to the Emergency Commander, who will notify authorities.
    8. Elevators must not be used in case of fire.

  14. Fire Evacuation Plan:

    1. Report the fire immediately by shouting “Fire!” and alerting nearby staff.
    2. Group leaders (team heads) must coordinate evacuation according to the Fire Evacuation Plan until the emergency services arrive.
    3. Upon hearing the alarm, participants must evacuate via the designated escape routes and gather at the assembly point with staff supervision and after a headcount.
    4. Coffee makers, hot plates, and other heat-producing devices are prohibited in rooms.

  15. Camp facilities, equipment, sports fields, etc. may be used by all, but at your own risk. Damages resulting from misuse must be compensated by the individual responsible. The organizers are not liable for personal injuries, accidents, or losses caused during the use of equipment or installations. Participants acknowledge that it is prohibited to use installed games while under the influence of alcohol or other banned substances.

  16. Anyone who unlawfully damages the property, furnishings, or equipment of others or the Camp is obliged to compensate for the damage.

  17. Upon departure, all groups must leave their rooms clean, collect garbage, remove bed linens, and return all keys and cleaning tools to the Operator’s staff.

  18. Participation in the Freshman’s Camp is entirely voluntary. No part of the program is mandatory. If a participant finds that any activity conflicts with their values or beliefs, they are not required to participate. No task involving sexual references is included. Participation under peer pressure is not considered voluntary. Participants may leave the Camp at any time but must inform the organizers and return their wristband. Re-entry is only permitted after prior arrangement with the organizers.

  19. All programs, behavior, and communication must align with the University’s values, its Code of Ethics, Drug Prevention and Communication Regulations (available at www.semmelweis.hu), and applicable Hungarian laws (available at www.njt.hu).

  20. Participants may address any concerns or complaints during the Camp to the leadership or designated persons (whose contact details will be posted). After the Camp, they may contact these persons by phone or email at vezetoseg@iocs.hu. Complaints can also be submitted anonymously to the Rector’s Office of the University (rektor@semmelweis.hu, Budapest 1085, Üllői út 26. I. em. 101., +36 1 317 2400). All complaints will be investigated, possibly involving the relevant authorities. All personal data will be treated confidentially by the Unprompted Group of Instructors and the University.

  21. In the event of accidents, injuries, or emergencies, participants must notify the responsible organizer or group leader on-site immediately.

  22. Participants must declare any acute, chronic, or periodic illness or allergies upon arrival and provide printed medication instructions. These will be handled confidentially by the organizers and only shared with group leaders.

  23. Participants acknowledge that in the case of a suspected crime or violation of rules, the security staff may detain the individual until proper procedures are followed. In the case of a criminal act, the offender may be detained by anyone and reported to the police (see Act XIX of 1998 §127(3)). This does not constitute a violation of the individual’s personal freedom.

  24. If any norm or law is violated, and a student status has been established following enrollment, the University may initiate disciplinary proceedings within five months of the incident. Possible sanctions include:

    1. Warning
    2. Severe warning
    3. Temporary or permanent withdrawal of benefits or grants
    4. Temporary suspension from studies (up to two semesters)
    5. Expulsion from the institution

  25. In the case of suspected drug possession, use, or other crimes, the security staff may search the person and belongings involved. The procedure must be conducted in the presence of the individual, the authorized security staff, and Head Organizer Orsolya Sisa.

  26. During the event, it is forbidden to create, store, or share (through any medium, including internet, Facebook, TikTok, Instagram, Tumblr, X, YouTube, BeReal, Snapchat, etc.) any photo, audio, video, or film that violates the rights, interests, or personal identity of others. This remains forbidden even after the event has ended.

  27. All of the above rules apply equally to every participant.

  28. I consent to the creation and use of photos and recordings of me at the event by the organizers, for their operations and sharing with the University. I will not claim any compensation for the storage or later use of such recordings.

  29. If I become aware of any image or recording that is offensive to me or others, I will notify the organizers immediately so they can examine and remove the content if necessary.

  30. According to the Act CXII of 2011 on informational self-determination and freedom of information §65 (3)(a), this data processing does not require registration with the NAIH.

I acknowledge that I have read and accept the Freshman’s Camp House Rules and Participation Regulations as binding upon me, and I declare that I participate in the Camp at my own risk.

I understand that any violation of these rules may result in exclusion from specific programs, or, in cases of repeated or serious violations, expulsion from the Camp and the initiation of university disciplinary or legal procedures under the Penal Code and the Administrative Offenses Act. I am aware that disciplinary sanctions may include suspension from studies or even expulsion from the University.

We place particular emphasis on the protection of all participants’ physical and mental health, human dignity, and right to self-determination. The Rector of the University has pre-approved the Camp’s program, but the Unprompted Group of Instructors is responsible for its implementation, communication, and compliance with the University’s ethical norms.
